Half of all Wi‑Fi CERTIFIED application rejections are not due to test failures – they are due to incomplete documentation. WFA’s document review is often stricter than lab testing. One missing file means sample rejection, rescheduling, and 1–2 weeks of delay.
Important clarification: this checklist applies only to WFA interoperability certification. Statutory RF certifications (FCC, CE RED, KC, SRRC, MIC) each require their own technical files – do not mix the two lists.
If this part fails, everything stops.
·Chinese companies: provide a colour scan of your business licence plus a stamped English translation. A Chinese‑only licence will not be accepted for WFA registration. Overseas companies: use your business registration certificate. Your company’s English name should match your trademark registration and packaging exactly – spaces and punctuation must align. If not, submit an additional entity‑relationship explanation.
·Small‑business (SBI) membership: submit audited financial statements from the last full fiscal year – annual revenue below USD 10 million. Any firm with independent auditing qualifications (any region) is acceptable – internal ledgers or simple spreadsheets are not accepted.
·WFA application confirmation and annual fee receipt: save them. After membership is approved, you’ll receive an electronic receipt – keep it accessible. If a third‑party lab or agent handles the application, provide an additional formal authorisation letter clearly defining the scope.
·Contact information: set up both technical and legal contacts – phone and email must be accurate. If your subsidiary is a separate legal entity and produces/ships its own products, it must join WFA separately. Business divisions under the same parent can use the same membership account. Cross‑entity sharing of a single membership account will result in certification cancellation.
2. Product Technical Documents – Highest Rejection Rate
This is where WFA’s review is most stringent.
-Product specification sheet – must be an engineering spec, not a marketing brochure. Include: chip model/manufacturer, supported Wi‑Fi generations and bands, maximum transmit power, antenna type/quantity/gain (dBi), MLO and 320 MHz capabilities – down to exact parameters. The firmware’s actual capabilities must match the spec – do not declare features not implemented. For Wi‑Fi 7, clearly state MLO support and 320 MHz capability – WFA will verify every declared function in the lab.
-BOM (Bill of Materials) – only the Wi‑Fi RF chain components: crystal, RF switches, filters, PAs, matching‑circuit capacitors/inductors – with brand/model/package. PCB layout: only the Wi‑Fi RF trace area – must match the physical board. Schematic: RF section only.
-Antenna specification sheet – the highest‑rejection document.
·External antenna: official manufacturer datasheet – type, gain, VSWR, radiation pattern.
·Internal FPC/ceramic antennas: provide measured gain after assembly (preferred); simulation reports may be accepted by some ATLs but are not a universal guarantee. Missing antenna spec = immediate sample return – a mention in the main spec sheet is not sufficient.
-User manual – reserve space for the Wi‑Fi CERTIFIED ID and compliance statement. The ID is not known before certification – leave a placeholder format. For automotive and Matter‑enabled products, add dedicated sections for automotive‑grade safety or Matter mesh‑compatibility statements.
-Sample consistency declaration – formally signed and stamped, confirming the sample’s Wi‑Fi‑relevant parts are identical to mass‑production units. IP declaration – if using a third‑party authorised module, provide the corresponding licence/permission.
3. Path‑Specific Supplementary Documents
WFA now uses three main paths: FlexTrack, QuickTrack, and Derivation – each has different document requirements.
·FlexTrack (full) – for self‑designed Wi‑Fi solutions going through full testing.
Prepare internal pre‑test reports – documenting test items, results, environment, and band configurations – to help the lab assess scope and shorten cycles. This is not a mandatory WFA submission – but some ATLs recommend it.
For Wi‑Fi 7 FlexTrack – additionally provide MLO functional test documentation.
WPA3: from 2025, all new Wi‑Fi 6+ applications must support WPA3‑Personal – 6 GHz (Wi‑Fi 6E/7) products have a hard requirement. Your firmware spec must clearly describe WPA3 integration – Wi‑Fi 7 without WPA3 will be rejected.
·QuickTrack – for products using a pre‑certified chip/module.
The key document is the Qualified Solution certificate – showing the Certification ID, verifiable in WFA’s database. QuickTrack is faster because the module already passed full testing – the end product only needs difference testing.
Constraint: the end design must not exceed the module’s Qualified Solution scope – you cannot modify RF pins or replace the antenna scheme with one outside the approved range. Adjusting external matching networks and antennas within the module manufacturer’s specified framework is permitted – the industry rumour that “any matching change voids the qualification” is over‑interpreted. The real red line is exceeding the approved scope – that forces a full FlexTrack restart.
·Derivation – for minor changes to an already‑certified product.
You need the original product’s Wi‑Fi certificate plus a Core Hardware Unchanged Declaration – clearly stating what changed and what did not: Wi‑Fi chip model, antenna solution, operating bands – all must be identical to the original certified product. Vague descriptions will trigger a request for detailed technical comparison.
Any change to the Wi‑Fi RF chain, antenna solution, or Wi‑Fi firmware protocol/functionality makes the product ineligible for Derivation – even replacing an antenna component with a different model counts as an antenna‑design change and disqualifies Derivation.
4. Vertical‑Industry Additional Documents
·Automotive Wi‑Fi – typically need AEC‑Q100 component qualification, temperature‑cycle, and vibration‑reliability documents – not mandatory for WFA but most ATLs require them for automotive projects.
·Wi‑Fi CERTIFIED for IoT (low‑power) – submit sleep/wake mechanism files and device‑connection status logs.
·Wi‑Fi for Matter (smart‑home hubs) – submit cross‑ecosystem interoperability statements.
